Volunteering with Children

Background Check & Training Requirements
for Employees & Adults
Who Volunteer with Children

Employees and adult volunteers having "substantial contact with children" MUST complete the following diocesan requirements:

1. Complete all background check paperwork.

2. Attend a one-time, 4-hour VIRTUS Training (Protecting God's Children for Adults).

3. Clear an initial check to start volunteering; clear a final check to continue volunteering. Employees must clear both checks prior to working at OLGC School.

4. Watch a short, online, continuing education, training video for every 3-years of active service.

WHERE DO I BRING MY COMPLETED FORMS?
Completed background check forms should be returned to the Parish Administration Building (and if possible, directly reviewed by Tammy Beaven, our Child Protection Liaison), within 1-2 weeks upon receiving your background check packet in the mail.

HOW LONG DOES THE CLEARANCE TAKE?
Background checks can take from 4-12 weeks to clear depending on the time of year and number of checks submitted at once from all of the parishes and schools in the Diocese of Arlington. Summertime has the shortest processing time; fall and spring have the longest processing time.

ARE THE FORMS AVAILABLE ONLINE?
Please DO NOT print the forms that are available on the diocesan website, and DO NOT mail your forms directly to the diocese. Processing your forms through OLGC will ensure that your paperwork will be processed as quickly and accurately as possible, and it will be tracked on a weekly basis. OLGC is NOT responsible for tracking any forms that are NOT processed through OLGC.

WHEN DO I NEED TO REGISTER FOR A VIRTUS TRAINING?
If possible, please wait until you receive your background check packet before signing up for a VIRTUS Training. Registration instructions are included in the background check packet, and following these specific instructions will reduce the risk of error which could lead to not receiving the proper credit for attending a training.

WHAT DO THE DIFFERENT STATUSES MEAN?
Someone can begin volunteering with children when the training has been completed and the initial check has cleared, which makes the person Temporarily Compliant.
When the final clearance occurs, the person will become Fully Compliant. If a requirement is still missing, the person is considered Non-Compliant. If the paperwork is being processed and the training has been completed then the person is considered In-Process. Since the VIRTUS Training is only one part of the whole process, it is suggested that the terms "VIRTUS compliant" or "VIRTUS certified" NOT be used to describe status.

WHAT IF I COMPLETED A CHECK THROUGH MY WORK?
If you have already completed a background check through your employer, you will still be required to complete a check for the Diocese of Arlington because such checks are confidential and cannot be shared between organizations. The diocese and your employer also look for different information.
